Accounts Payable Specialist (M/W/D)
Tasks:
Process vendor invoices daily, ensuring correct expense coding, obtaining necessary approvals, and utilizing system connectors for accurate data entry and timely payments.
Identify, investigate, and resolve discrepancies or payment issues promptly while maintaining clear communication with internal and external stakeholders to prevent service or supply disruptions.
Execute A/P payments via ACH, wire transfer, or check, ensuring proper recording and reconciliation between bank, accounting, and invoice systems on a weekly basis.
Prepare and analyze accounts payable reports, review findings with the Accounting Manager, and present them regularly to the Finance team.
Communicate professionally with vendors, department heads, and internal accounting teams both verbally and in writing. Document and proactively address any issues that arise.
Process and review employee travel and expense reports, ensuring compliance with company T&E policies.
Perform month-end close activities, including variance analysis, foreign exchange revaluation, invoice and payment reconciliations, and reconciliation of accounts payable subledger with the general ledger.
Ensure adherence to GAAP, statutory accounting requirements, and company policies in all accounts payable transactions.
Support financial reviews and audits by gathering required documentation and preparing schedules as needed.
Assist in other finance-related duties and ad hoc projects as assigned.
Qualification:
High school diploma with at least 3 years of accounting experience
Strong proficiency in Microsoft Excel for accounting and data analysis
Fluent in German, with proficiency in English (written and spoken)
Experience with Microsoft Outlook and Office applications required
Familiarity with NetSuite is preferred
Prior experience in the biotechnology or pharmaceutical industry is a plus
Understanding of U.S. GAAP accounting principles
Experience with VAT tax reporting requirements
