Administrative Assistant (M/F/D)
Tasks:
Regularly review messages received into a particular email mailbox
Review messages against a checklist to determine if they are complete and should be routed to a signatory, and determine (using the checklist) who the appropriate signatory would be
Print out such messages with their attachments and provide them to the signatory with the signature pages tagged
Move messages which are not ready for signature to a separate folder
Retrieve signed documents and deliver them to Reception for further handling
Retrieve original signed documents mailed to the company from Reception, scan and send them to a list of recipients provided by the manager, upload the scan to a database, and appropriately file the originals in the Archive located on the bottom floor of the office
Organize the existing documents in the Archive
Such other administrative tasks as may be reasonably requested by the manager
Typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies and/or sorting/distributing mail
May work on special projects to include recording, compiling, retrieving, reporting and analysing information
Qualification:
Must be able to multi-task and Prioritise
Strong communication skills and Organisational skills are required
Proficiency with MS Office required
Works with moderate work direction, and can identify issues/problems but may need assistance in resolving
