Project Coordinator (Operations) (M/W/D)
Task:
Coordinate follow-up activities across operational and transformation-related topics within Workplace, based on agreed inputs and defined processes
Maintain structured tracking of actions, milestones, risks, dependencies, and decisions related to assigned topics
Monitor status updates provided by responsible stakeholders and document progress against agreed timelines
Consolidate and structure available information from sources such as tickets, timesheets, meetings, and service reviews
Analyze available workload data and provide transparency on trends, potential bottlenecks, recurring issues, and capacity utilization
Prepare status summaries, action logs, and visual overviews based on collected project and service data
Structure topics into transparent plans reflecting agreed responsibilities, next steps, timelines, and dependencies
Contribute to transparency regarding service scope, responsibilities, and defined support boundaries through documentation and tracking
Prepare supporting materials and documentation for meetings and operational review sessions
Document actions and decisions resulting from meetings and maintain visibility of their current status
Qualification:
Experience in PMO-related activities, service delivery coordination support, operations-related coordination tasks, or infrastructure support environments
Strong follow-up discipline and ability to maintain oversight across multiple parallel topics while keeping attention to detail
Good analytical skills, particularly in working with ticket data, timesheets, operational reporting, and workload-related information
Strong organizational skills and ability to structure information and topics in dynamic or evolving environments
Sufficient technical understanding of workplace or infrastructure services to follow discussions and formulate relevant clarification questions
Confidence in interacting with senior technical stakeholders and consistently requesting status updates in a professional manner
Strong Excel and reporting skills; familiarity with service management tools and basic data extraction is beneficial
Nice to have:
Familiarity with IT infrastructure and workplace service environments, including technologies such as M365, Intune, Active Directory, Citrix, or identity-related solutions
Experience in environments related to service management, IT operations, or IT transformation initiatives
Experience collaborating within international or multi-country delivery environments
